Three client journeys in detail
The Challenge
A two-person homeware shop was receiving 40 to 60 WhatsApp enquiries a day — mostly asking about stock availability, prices, and delivery options. The owner was answering messages until 10 pm most nights and beginning to miss some entirely.
What We Did
We set up a Customer Reply Companion connected to the shop's WhatsApp Business account. The assistant was calibrated to the owner's direct, friendly tone using two weeks of real message samples. Staff training covered how to review, edit, and approve drafts before sending.
The Outcome
After the first month, the owner estimated she was spending about 35 minutes a day on messages instead of two to three hours. Response times dropped from hours to under 30 minutes on average. No customers have noticed a change in tone.

The Challenge
A bookkeeping practice with four staff had added an AI drafting tool independently, but no one was using it consistently. The tool was not configured to their processes and had generated some awkward client emails during early testing. The partners were sceptical but not ready to abandon the idea entirely.
What We Did
A Starting Conversation confirmed the tool itself was suitable but the setup and calibration had been done without enough real-world samples. We reconfigured it, ran a short staff session, and enrolled the firm on the Quiet Operations Plan to keep it maintained going forward.

All four staff now use the tool consistently for routine client correspondence. The partners estimate it saves each person around 45 minutes a day. The monthly summaries help them track usage patterns and flag when something is drifting out of alignment.

The Challenge
The owner of a three-outlet café group had read about AI tools being used for staff scheduling and menu analysis. She was not sure whether her volume and data quality were sufficient to make either approach worthwhile.
What We Did
During the Starting Conversation, we looked at her scheduling process and the data she had available. The honest assessment was that scheduling AI required cleaner historical data than she currently kept, and the menu analysis tools suited businesses with significantly higher transaction volumes.
The Outcome
No tool was sold or installed. Instead, she left with a clear note on what data to start collecting and a suggested six-month check-in point. She plans to return for a second Starting Conversation once her POS data is more consistent across all three outlets.
